Bill management app: the features that matter, and a free one

Managing bills comes down to three things: knowing every bill and its due date, being reminded in time, and knowing what's left after paying. A bill management app should do those well before anything else. Here's the checklist we built Bill Organizer against, and how to set one up.
Bill Organizer income and cash flow screen: bills grouped by the paycheck that covers them

8 features every bill management app needs

  • One list of every billName, amount, due date, category and how it repeats, sorted by what's due first.
  • Reminders before the due dateA notification the day of, or 1, 3 or 7 days before, set per bill.
  • Repeating bills that schedule themselvesMark this month's paid and next month's appears with the right date.
  • What's left to pay this monthA running total that drops as you pay, plus overdue bills flagged.
  • Paycheck planningWhich paycheck covers which bill, and what's left after each one.
  • A bill calendarEvery due date on a month grid next to your paydays.
  • Payment historyWhen each bill was paid and how much, for disputes and taxes.
  • Export and backupCSV for spreadsheets, a calendar file (.ics), and a backup you control.

Bank-linked or manual: the one decision to make first

Bill management apps split into two camps. Bank-linked apps read your transactions, spot recurring charges and show bills you forgot. The cost is handing over a bank login, connections that drop when a bank changes something, and an app that sees every purchase you make. Manual apps work from bills you type in once. Setting up ten bills takes about ten minutes; after that, repeating bills schedule themselves and there's nothing to reconnect.

If your problem is missed due dates rather than unknown spending, a manual app solves it with less risk. If you suspect forgotten subscriptions, run the free subscription tracker once against your statements, then put what you keep into the app.

Features worth paying for (and ones that aren't)

Worth it: more than one reminder per bill, a home-screen widget that shows the week's bills, and a full backup. In Bill Organizer those are part of optional Pro. The app is free with ads, and everything free stays free. Optional Bill Organizer Pro removes ads and adds all themes, the "Due this week" home-screen widget, full backup & restore, CSV export, up to 3 reminders per bill, spending insights: try it free for 7 days, then $2.99 a month or $14.99 a year, or pay $24.99 once for lifetime Pro (US prices).

Usually not worth it: bill negotiation that keeps a share of the savings (you can call the provider yourself with the bill increase calculator numbers in hand), and premium budgeting if you only need bills.

Set up a bill management app in 15 minutes

  1. Pull the last two months of bank and card statements, and the list of monthly bills for categories.
  2. Add each bill with its amount, due date and repeat. Use an average for bills that vary, like electricity.
  3. Add your paychecks, so the app can show which paycheck covers which bill.
  4. Choose a reminder per bill: 3 days before for anything paid manually, the day of for autopay bills (to check the amount).
  5. Turn on the weekly digest or widget, and check it every Sunday.

The money calculators people use most

A bill management app answers what's due; these calculators answer what to do about it: how fast a card gets paid off, what a move or a loan costs, and how much rent fits your income.

Frequently asked questions

What is a bill management app?

An app that keeps every recurring bill in one place with its amount and due date, reminds you before each one, records what you've paid, and shows what's still due this month. Some also link bank accounts or pay bills; most focus on tracking and reminders.

What is the best free bill management app?

For most people, one that is free without a trial, needs no bank login and works on both the phone and a computer. Bill Organizer does all three: the web tracker, the iPhone app and the Android app are free, and the same backup file moves bills between them.

Should a bill management app connect to my bank?

It's a trade-off. Bank-linked apps find bills automatically but need your login, can disconnect, and see all your transactions. Manual apps take ten minutes to set up and never break, and nothing leaves your phone. If missed due dates are the problem, manual is enough.

Can a bill management app pay my bills?

A few can, but most don't. The safest way to pay is your bank's bill pay or the biller's own autopay. A bill management app's job is to make sure each of those happens on time and to record it.

Is there a bill management app for couples or families?

Yes. Keep one shared list: in Bill Organizer, export a backup and restore it on the other phone, or use the web tracker on a shared computer. Split amounts between partners with the split bill calculator.
