Moving Cost Calculator

Moving costs more than the truck. Before you get the keys you usually pay the first month's rent, a security deposit, application fees, utility deposits, and the move itself — often all in the same two weeks.

Enter what your move involves and you'll get the total cash you need, how much of it comes back later as a refundable deposit, and how long it takes to save at the amount you can put aside each month.

How this calculator works

Adds every up-front cost of a move — first month, deposits, fees, the move itself and the small things that add up — so the total is known before you sign. Many landlords also look for gross monthly income of about 3× the rent; that figure is shown for reference.

  • Cash needed = first month's rent + security deposit + last month's rent (if required) + movers or truck + fees + utility setup + supplies + any rent still owed on the old place.
  • Refundable later = the security deposit, assuming the place is returned in good condition.
  • Months to save = cash needed ÷ what you can save per month, rounded up to a whole month.

Worked example

With these inputs: new monthly rent $1,600; security deposit $1,600; last month's rent up front $0; movers or truck, fuel, helpers $900; application, admin and pet fees $150; utility deposits and setup $150; boxes, cleaning, first groceries $200; rent still owed on the old place $0.

The result is cash needed to move $4,600.00, with refundable later (deposits) $1,600.00 and income landlords often look for $4,800.00 a month gross.

What a local move and a long-distance move really cost

For a local apartment move, the rent and deposit are usually the biggest lines, not the movers. A $1,600 apartment with a one-month deposit already needs $3,200 before a single box moves. A rental truck, fuel and a couple of paid helpers for a day typically add a few hundred dollars; full-service movers for a one-bedroom cost more, and a long-distance move is priced by weight and distance, so get at least two written quotes and put the higher one in the calculator.

The small lines add up too: application and admin fees, a pet deposit, utility connection fees or deposits, boxes and tape, cleaning supplies for the old place, and the first grocery run in the new one. Leaving them out is the most common reason a move ends up on a credit card.

Cutting the up-front cash

Time the move so you are not paying rent on two places. If your lease runs to the end of the month and the new one starts on the 15th, ask for a prorated first month — the Prorated Rent Calculator works out the amount — or for a later start date.

Ask whether the deposit can be paid in installments, whether a lower deposit is available with a good credit score, and which utilities waive their deposit if you set up autopay. Every dollar you do not hand over at signing is a dollar that stays in your emergency fund.

Taxes and moving expenses

Most people cannot deduct moving expenses on a federal return; the main exception is active-duty members of the Armed Forces moving because of a permanent change of station (IRS Topic 455). If your employer pays for the move, that reimbursement is generally taxable income, so check your payslip before you budget it as free money.

Frequently asked questions

How much money do I need to move into an apartment?

Usually first month's rent plus a security deposit, plus fees, utility setup and the move itself. With the example above — $1,600 rent, a $1,600 deposit, $900 for the move, $150 in fees, $150 for utilities and $200 in supplies — you need $4,600 in cash, and $1,600 of it is refundable later.

How much should I budget for movers?

Get written quotes: local movers usually charge by the hour for a crew and truck, long-distance movers by weight and distance. A rental truck plus fuel and helpers is typically the cheapest option for a small apartment. Put the higher quote in the calculator so a surprise doesn't break the budget.

What income do landlords look for?

Many landlords look for gross monthly income of about three times the rent, so $1,600 rent points to roughly $4,800 a month before tax. It's a screening rule of thumb, not a law, and some landlords accept a co-signer or a larger deposit instead.

Is a security deposit refundable?

Yes, minus any lawful deductions for damage beyond normal wear and tear or unpaid rent. Your state sets the rules on how much can be charged and how quickly it must be returned. Take dated photos when you move in and out.

How long will it take to save for a move?

Enter what you can save each month in the last field. The calculator divides the total by it and rounds up, so $4,600 at $500 a month is 10 months. Add the new rent as a bill so it's tracked from the first month.
