How to use a monthly bill checklist

  1. On the 1st (or your first payday), fill in the month. Write every bill due this month in due-date order: name, due date, amount. Copy the repeating ones from last month's sheet; that's most of them.
  2. Add the one-offs. A yearly renewal, a medical bill, a school fee. If it's due this month, it goes on this month's sheet.
  3. Total it. Write the total due and your income for the month. If the total is close to your income, mark which bills can wait a few days and which can't.
  4. Tick each bill the day you pay it and write the date paid. That date settles any "we never got it" call with a biller.
  5. Once a week, scan for unticked bills due in the next 7 days. That five-minute check is what prevents late fees.
  6. At month end, fill in total paid and left over, then start next month's sheet from this one.

Example: a filled-in month

Eight typical bills in due-date order. The checklist makes the clustering obvious: almost $1,700 lands in the first two weeks.

BillDueAmountPaid
Rent1st$1,450.00☑ paid
Car insurance3rd$142.80☑ paid
Electricity8th$96.45☑ paid

Internet15th$64.99☐
Credit card21st$250.00☐
Streaming24th$15.49☐
Water27th$38.20☐

Total due: $2,102.93. If you're paid twice a month, the 1st–14th bills ($1,734.25) are far heavier than the 15th–31st ($368.68). The bill due date planner suggests which due dates to move so each paycheck carries about half, and the paycheck budget calculator shows how much of each check to set aside.

What to put on the checklist (so nothing is missed)

  • Housing: rent or mortgage, HOA, renters or home insurance.
  • Utilities: electricity, gas, water, trash, internet, phone.
  • Transport: car payment, insurance, fuel card, parking, transit pass.
  • Debt: every credit card (even at $0 balance, so you notice a charge), student and personal loans, buy-now-pay-later plans.
  • Subscriptions: streaming, music, cloud storage, gym, apps. The subscription tracker totals them.
  • Family: childcare, tuition, allowances, pet insurance.
  • This month's yearly bills: car registration, annual memberships, property tax instalments.

The complete category list, with typical amounts, is on the list of monthly bills.

Paper checklist or app?

Paper works well for one reason: you see the whole month at once and the act of ticking a box sticks. It fails when the sheet is in a drawer on the day a bill is due. The fix many people use is both: the printed checklist on the fridge for the overview, and the free bill reminder app for a notification before each due date. The online bill tracker can print this checklist already filled in from your list.

Want other layouts? The printable bill tracker has a bill calendar, a bills-by-paycheck sheet and a yearly tracker, all free, in Letter or A4, one month or all twelve.

Frequently asked questions

What is a monthly bill checklist?

A one-page list of every bill due in a month, with its due date and amount and a box to tick when it's paid. At the bottom you total what's due, what's paid and what's left from your income.

Is the monthly bill checklist PDF free?

Yes. Download it with no sign-up and print as many copies as you like for personal use. It prints on US Letter; A4 printers scale it to fit.

What bills should be on a monthly checklist?

Every bill that repeats: housing, utilities, phone and internet, insurance, car and loan payments, credit cards, subscriptions and childcare. Add yearly bills too, as the month they fall due. The list of monthly bills on this site has every category.

Can I fill the checklist in on my computer?

Yes. Add your bills to the free online bill tracker, then open the printable tracker and tick "Fill in my bills": it prints the checklist already filled in for any month, or all 12 at once.

How is a bill checklist different from a bill calendar?

The checklist is a list in due-date order with paid boxes, best for ticking bills off. The calendar puts each bill on its day of the month, best for seeing which week or paycheck carries the most. Many people use both.
